Academic Rules & Regulations

Registration

At the time of admission in the first semester, students are assigned courses by the Registrar. However, in subsequent semesters, after consulting their Advisors, students must register themselves in courses they decide to take in each semester. Registration dates are announced well ahead of time and students are required to fulfill their registration formalities during those dates. Students are expected to pay their dues on the day of registration. Advance registration and advance payment of dues is approved by the Dean in exceptional cases.

Add/Drop

No add/drop from a course or a section is allowed in the first semester. However, in subsequent semesters, students are allowed to add/drop a particular course within the first week of a term provided they have a valid reason to do so. No such requests are entertained after the first week. All fees once paid are non-refundable and non-transferable especially after the first week of classes.

Withdrawal from a Course

A written request one week before the end of classes must be submitted to the Dean’s office for withdrawal from any course. On approval, the student will be withdrawn from the course. However, grade ‘W’ will appear on the transcript for that course. Fees paid for such a course will neither be adjusted nor carried over to the next semester.

Semester Leave

Students who wish to discontinue their studies for one semester must seek permission from the Dean’s office. Students who go on a semester break without permission may not be allowed to resume their studies without formal permission of the Dean’s office.

Tuition Fee Waiver

All types of tuition fee waivers will continue for subsequent semesters only if a student fulfils the CGPA requirement.

Merit Scholarships*

Students who secure 75% marks or a position in F.A./F.Sc./B.A./B.Sc. or 2 A's in prescribed A Level subjects in their first attempt from a recognized board or university are given a complete tuition fee waiver in the form of  a “merit scholarship”. This privilege will only be continued if the student maintains a CGPA of 3.8 or higher in subsequent semesters while taking a full load of courses in a given semester. If a student on a merit scholarship fails to achieve a CGPA of 3.8 but has a CGPA between 3.50 and 3.79 then 50% of the tuition fee will be waived in the subsequent semester. The condition of maintaining a full course load is mandatory in all merit scholarships. UCP scholarships are also available to students achieving a CGPA of 3.9 or higher in addition to fee concession or performance scholarships. PGC students are also entitled to fee concession up to 50% of the total fees.

Class Attendance Policy

Students are expected to attend every class for each course in which they are enrolled. 
In each course a student may avail a maximum of two leaves without any fine.  In case a student misses a class while he/she has already availed the privilege of two leaves, a fine of Rs. 500 per absence will be levied.  A student missing more than 20% of scheduled classes will be restrained from appearing in the final examination and he/she will be given a “W” grade for the course. All such students will repeat their withdrawn courses in the subsequent semester. No transfer of dues or tuition fee is permissible in this case.

Examination System

It is at the discretion of the course instructor to decide on the weightage of all examinations, assignments, group discussions, quizzes, projects etc.

UCP strictly follows a 4-point grading system similar to the one prevalent in most accredited institutions around the globe.  The numerical equivalence of letter grades is given below:

 Final Examination

A student must appear in all tests and examinations as scheduled. However, if a student fails to appear due to a genuine reason, he/she must take the missed test or examination within one week after the originally scheduled date. The final examination schedule is given on the academic calendar for each semester and is provided to all students by the concerned course instructor at the start of each semester. Examinations must be taken on the scheduled dates. Exceptions may be granted only to individual students in cases of emergency or other unavoidable circumstances beyond human control. All such exceptions must be approved by the Dean’s office.

Course Numbering System

Each course number consists of two parts. The first part contains at most four letters indicating the subject while the second part contains a four-digit number. The first digit indicates the course level. The second digit indicates the field of subject, the third digit indicates the course number of the field and the fourth number is reserved for the number of credit hours.

Semester Credit Hours

One semester credit hour means that a particular course must have at least one hour of class contact per week for a period of 16 weeks. Hence, a three-semester credit hour course will have approximately 48 class contact hours. The time allocated for final examinations is excluded from this computation of class contact hours.

Summer Courses

During summer semester a three credit hour course can be completed in eight weeks. This can be achieved by doubling the class contact hours per week.

Incomplete Grade

A mark of ‘I’ may be assigned to a student who due to a legitimate reason, fails to take the final examination but otherwise has completed all other course requirements. However, prior permission from the Dean’s office should be obtained for the award of ‘I’. An ‘I’ so assigned may be changed to a grade provided the student retakes the final examination before the next semester. If the new grade is not reported within a 4-week period, the “I” shall be changed to an “F” grade.

Unfair Means

Anyone found cheating or using any unfair means in any examination, will get a “F” grade in that course. Students involved in more than one cheating case will be expelled from the University.

CGPA

A student's Cumulative Grade Point Average is computed by multiplying the number of credit hours for each course by the grade points assigned to that grade, then dividing the sum of these products for all courses by the total number of credit hours in which the student was enrolled. Grade “I” and Grade “W” are not used in the calculation of GPA/CGPA.

Transcript Policies

Official transcripts, bearing the official embossed seal of the University, are issued only on written request from students. Transcripts or other evidence of attendance will not be issued to or on behalf of a student in debt to the University. Each student must obtain a clearance from the accounts office, showing evidence that such debts have been paid in full, and all outstanding balances have been cleared, before a transcript of his/her record is issued.

Course Repetition

Grades earned in each semester will appear on the student’s transcripts. Students receiving an “F” grade must repeat the course. Students receiving a grade “C-” or below for undergraduate level courses and “C” or below for graduate level courses may repeat the course. Not more than 4-6 courses to a maximum of 18 semester credit hours will be allowed for repetition. However, beyond 18 semester credit hours of repetition, the old grades will also be included in the calculation of CGPA. Original as well as revised grades for all repeated courses will be shown on the transcript.

Academic Probation and Dismissal

All students who fail to maintain a minimum CGPA of 2.0 for undergraduate level courses and CGPA of 2.5 for graduate level courses will be sent a written warning with their semester end grade report. These students will be put on probation for the next semester. If at the end of that semester they fail to attain the required CGPA, they will be dropped from the program altogether. All students are required to maintain a “good standing” throughout their tenure at UCP.

Course Load Under Probation

Students on probation will be restricted to repeating the undergraduate/graduate level courses for which grades below “C-/C” respectively were earned and will not be allowed to take any new course for the following semester. These students will be assigned courses by their respective Advisors.

Transfer of Credits

Transfer of credit is determined on a course-by-course basis. University acceptance of credits from other accredited academic institutions of higher education is subject to the following conditions:

  • The transferred course must be similar in content and scope to a UCP course, or must conform to the same competency as a similar UCP Course.
  • Transfer credits, applicable to all the educational programs, must not be less than a “B” grade.  Transfer credits submitted in fulfillment of a specific degree program must have the final approval of the Dean.
  • Transfer credits must come from a regionally accredited and HEC approved institution.
  • Students may be allowed to transfer up to 50% of the total courses in UCP academic programs.

Time Limit for Program Completion

From the date of first registration, all degree programs must be successfully completed within a maximum of seven years. If the limit is exceeded without proper approval of the Dean, the student will be dropped from the program.

Conduct and Discipline

The University administration will enforce discipline. Students are required to distinguish themselves by maintaining exemplary conduct towards other fellow students, faculty and the University staff. A student found lacking in pleasant behavior or notorious in the classroom or on the campus premises will be given a strict warning. Nevertheless, if a student still fails to show improvement and does not maintain an excellent moral character or behavior, then his/her name will be struck off the University rolls.

Friends and relatives of students are discouraged from visiting during the University hours. However, in case of emergency they may contact the Information Office. Visitors are not allowed to enter classrooms, the library or the computer labs.

I.D. Cards

All students are required to possess a valid I.D. Card. These I.D. Cards are required to enter the campus, classrooms and Labs.

Smoking

The UCP campus is a smoke-free zone. Any student found smoking inside or in front of the campus will be strictly dealt with.

Dress Code

Dress shirts (properly tucked in) and dress shoes with socks are required for boys. However properly ironed Shalwar Qamiz with waist coat is permitted only on Fridays.
T-shirts (without collar), patched or ragged jeans, joggers, and shalwar qamiz (any day other than Friday) are not allowed on campus. Female students should be decently attired. Flashy clothes, jeans, excessive jewelry, pazebs, etc. are not allowed.

Mobile Phones

Mobile phones are strictly prohibited in the University except for some admissible areas. In case of any emergency students are allowed to use the University phones.

Drinking/Eating

Eating and drinking is only permissible inside the Cafeteria. Drinking/eating at any other place on campus is prohibited. Birthday parties or other celebrations are not allowed on campus including in the Cafeteria or the ladies’ lounge.
